Google Apps Policy

  • Students leaving during the school year - accounts suspended within 1 week
  • Students graduating - accounts suspended within 2 months of graduation

When graduating or leaving Brother Rice, you may wish to preserve some of your "stuff" -- after all, you made it! Below are a few ways to take your "stuff" with you. You can visit the Tech Help counter at any time for assistance.

Gmail

Transfering your email to a different provider can be tricky. Here are some ways that we recommend but as always, if you need assistance just stop by the Tech Help counter.

Back Up Only

If you are only looking to backup your email, fill out this form and you will be sent an email message with a link to download your mail backup file.

Gmail to Gmail

Transfer your email messages to your personal Gmail account with the Gmail Backup and Restore utility. This is utility is Windows only and takes approximately 20 minutes for each 500MB of email you have.

Gmail to Outlook.com

Transfer your email messages to your personal Outlook.com (aka Hotmail or Windows Live) account with the Outlook.com wizard.

Gmail to Other

If you are transferring your email messages to other web-based email providers (Yahoo!, etc.) the easiest way is with a third-party mail program like Thunderbird. In short, you setup both your old (Brother Rice) account and a new account and then drag and drop messages between the two accounts. Here are some directions to get you started.

 

Calendar and Contacts

Transferring your calendar appointments and/or contacts are easy! Note: users transfering to Outlook.com should see above under Gmail to Outlook.com.

Calendar Export

Under Calendar Settings, click "Export Calendars" to export all of your calendars to a single file. To export an individual calendar (only if you have more than one), click the name of the desired calendar then right click the iCAL button at the bottom and SAVE AS. Contact Export

While in Google Contacts, select the check box to the left of each contact you want to export (you can also "Select All"). Once selections are made, the "More" menu will contain an Export option. Here are some directions from Google to get you started.

Google Drive (Documents or Docs)

There are a few ways to transfer or backup your Google Documents.

Download multiple files at once

While in Google Docs, select the check box to the left of each document you want to download (you can also "Select All"). Once selections are made, the "More" menu will contain a Download option. Here are some directions from Google to get you started.

 

Transfer document ownership

You can transfer ownership of files that you own to another Google Apps account. While in Google Docs, open the document to be transferred. Click the Share button and first add your second Google Apps account as an Editor. Then after applying, you should be able to switch the rights from Edit to Owner. This process must be done one file at a time and can only be done to files that you already own. If you do not own a file that you wish to transfer, you must first make a copy of it. Google SItes

The only method to transfer a Google Site is by changing ownership. Click the More button then Sharing and Permissions. You will have to add your second Google Apps account as an Editor. Then after applying, you should be able to switch the rights from Edit to Owner. Here are some directions from Google to get you started.
